Email Management Solution

The continued exponential growth of email and attachments has overwhelmed storage capacity, diminishing effectiveness of backup and recovery service level requirements, resulting in the growing risk of litigation and legal discovery (eDiscovery) and exposure to regulatory and governance shortfalls.  In the event of litigation, failure to timely produce electronic e-mail is critical to risk mitigation and may result in unplanned allocation of management time and severe administrative cost with excessive monetary settlements.  The new Federal Rules of Civil Discovery (eDiscovery) have increased the pressure to address issues related to electronic discovery, in responding to timely availability of certified original emails with attachments, stored in native format.

DPF will deploy at clients site or host at DPF’s secure facility EMC’s best practices Email Management Solution for addressing e-Discovery and compliance challenges, minimizing disruption to their ongoing business operations.

A proactive determination of the elevation of corporate liabilities due to the explosive and unmanageable growth of e-mail dictates an assessment of your e-mail server environment.  DPF will utilize EMC’s e-mail assessment tool to access the current state and performance of the e-mail server environment as to, server storage utilization with growth rates, messaging, frequency of access duplicate email, .PST files and other detail metrics.

With the assessment serving as a foundation, DPF will deploy at client’s site or host at DPF’s secure facility,  EMC’s best of practices E-mail Management Solution, a centralized policy-based active archive solution.

The EMC EmailXtender software product automatically captures the original copy of all incoming and outgoing e-mails with all attachments, it organizes and classifies the messages, sets retention and disposition time cycles, provides full text searchable indexing, compresses, de-duplicates, and migrates emails to the EmailXtender and DiskXtender servers.

The policy-based static email will be migrated to a more cost-effective EMC Centera online archive, transparent to the user who continues to see a message shortcut in the mailbox.
  • Assure authenticity and integrity of the email archive through Centera’s unique content addressing
  • Store in Native Format
  • Give users a virtually “infinite” mailbox – eliminating mailbox quotes
  • Eliminate .PST files
  • Timely access to archived content
  • Reduced management time with a self-healing,  self-configuring archive
  • Improve backup and recovery operations
  • Meet internal policies and industry regulations by automating retention and disposition policies
  • Reduction in storage through de-duping and compressio

This tailored strategy will improve operational performance, insure data security and lower storage cost.
